Effective from 21st August 2025

At Stem Cell Vet, we are dedicated to providing the highest quality care for your dog. To ensure that appointments are managed fairly and efficiently, the following booking fee structure and terms apply.

1. Booking Fee (Self-Funded Clients)

• A booking fee of £200 is required at the time of booking.
• Payment must be made via the secure payment link provided.
• This fee will be offset against the cost of your dog’s treatment.

2. Booking Fee (Insured Clients)

• For clients funding treatment through insurance, either a set amount of £200 or the insurance excess is payable once insurance cover is confirmed.
• This payment will be offset against the cost of treatment.

3. Refunds & Cancellations

• Booking fees and excess payments are non-refundable if the appointment is cancelled within 14 days (2 weeks) of the scheduled treatment date, as we are unable to fill appointments on short notice.
• If an appointment is cancelled more than 14 days before treatment, the booking fee will be refunded or carried forward.

4. Transferring Appointments

• If you need to move your appointment, the booking fee may be transferred to the new date.
• However, if the appointment is moved within 14 days of the original treatment date, the booking fee will be forfeited, and a new booking fee will be required.

5. Application of Fees

• All booking fees and insurance excess payments are applied directly toward the overall cost of treatment.

6. Payment Methods

• Booking fees must be paid via the payment link provided at the time of booking.
• Insurance excess payments may be made by card or bank transfer upon confirmation of cover.

7. No-Shows & Late Notice Changes

• Failure to attend an appointment without prior notice will result in the loss of the booking fee.
• Rebooking will require a new booking fee or excess payment.

8. Modifications and Governing Law

Stem Cell Vet reserves the right to amend these Booking Fee Terms & Conditions at any time without prior notice.

This policy is governed by and construed in accordance with the laws of England and Wales.
